    Department: Community Engagement & Development (CE-DEV)

    Reports to: Development and Community Engagement Director (DCED)

    Status: Exempt 

    Revision date: March 2021

    Pay Range: $35,568 – $47,000

    PURPOSE OF THE POSITION

    The Community Engagement Manager (CEM) has overall responsibility for Willamette Humane Society’s (WHS) volunteer, humane education, and outreach programs. The CEM is responsible for managing strategies for the engagement of non-staff community members in support of WHS’s mission, whether as volunteers, students, event attendees, or members of the general public, through formal and informal engagement activities.

    DUTIES AND RESPONSIBILITIES

    Volunteer Program Management

    • With support from the Volunteer and Event Coordinator, ensure all volunteer positions are staffed with well-trained volunteers who meet or exceed expectations. 
    • Oversee volunteer recruitment, including promotion and outreach, in collaboration with the Communications Manager
    • Oversee interview and selection process, implementing established processes, systems and materials, including:
      • Structured training programs, including creation and maintenance of training materials. 
      • Database management
      • Accurate documentation of volunteer hours
      • Written reports on volunteer activities for internal and external audiences
      • As needed, update or create new processes and systems
    • Provide guidance and support for WHS department staff, empowering them to oversee and manage their own volunteers, including scheduling and day-to-day supervision. Providing managerial training and volunteer relations support, as needed..
    • Serve as a resource for volunteers who need assistance with assigned roles, support in carrying out their roles, or re-assignment.
    • Work collaboratively with departments and volunteers to address and resolve any possible conflicts that might arise. If required, terminate volunteer relationships. 

    Humane Education, Outreach, & Event Management

    • Oversight of comprehensive organizational event calendar
    • Planning and management of all community/humane education and outreach events with support from Humane Education and Outreach Coordinator, Volunteer & Event Coordinator, and Communications Manager
    • Planning and implementation of major fundraising events in collaboration with DCE Director, Volunteer & Event Coordinator, and Communications Manager
    • Primary relationship manager for a small portfolio of key event partners
    • Work with development staff to support revenue generation for events 

    Personnel Management / Supervisory Responsibilities

    • Serve as direct supervisor for Humane Education & Outreach Coordinator and Volunteer & Events Coordinator
    • Supervise volunteers as assigned, for specific events or projects
    • As needed, hire new staff and revise job descriptions. Manage interview and selection process for new staff. 
    • Ensure staff adherence to WHS standards and performance expectations
    • Provide for professional development, a safe workplace, and compliance with all worker regulations and laws. Uphold the Workplace Culture Agreement and WHS Core Values. 

    Fiscal Management

    • Complete or approve purchase orders and ensure submission to the business office in a timely manner
    • Monitor budget performance to keep expenses within acceptable limits. If budget modifications are required, discuss with the direct supervisor and business office. 
    • With supervisor support, develop annual program budgets.

    Leadership

    • As a member of the leadership team, collaborate and coordinate actions with other managers, directors, and staff to assist in the implementation of activities and endeavors to support the overall WHS mission and goals. 
    • Participate in strategic planning; develop comprehensive annual plans for volunteer, humane education, and outreach programs in collaboration with the Development Team, to align outreach and volunteer strategy with development strategy. 
    • Model a Culture of Philanthropy throughout the organization. 

    CONTROLS OVER WORK 

    The CEM works under the direction of the DCED and is expected to pursue the established duties independently, exercising sound judgement and discretion.

    CONTACTS WITH OTHERS

    The CEM has regular content with WHS employees, volunteers, the general public, and community partners including sponsors and businesses. Communication with others requires tactful exchanges and a professional demeanor at all times. Contact will occasionally include disgruntled or unhappy individuals. 

    WORKING CONDITIONS 

    The CEM works with WHS employees, staff, and members of the public. Work is done in a fast-paced environment. There are often strict deadlines and the need to coordinate work on multiple complex projects at the same time. Work is performed both at the shelter and within the community. Occasionally, direct work with animals is required. 

    PHYSICAL DEMANDS 

    The work environment requires working with standard office equipment such as a computer, telephone, copy machine, etc, performed at a desk in an office environment. In addition,  at times physical work may include lifting and carrying materials, setting up and tearing down for events, and remaining on your feet for extended periods of time. Special events set up may also require the ability to lift 40 pounds.

    KNOWLEDGE, SKILLS, AND ABILITY 

    • Strong written and verbal communication skills, and the ability to communicate in a positive, educational, and professional manner via email, phone, and in-person 
    • Demonstrated ability or strong interest to work and interact effectively with diverse audiences, including those with differing histories and experiences.
    • Proficient in phone systems, computer usage, typing, database management. Office Suite, Google Suite, Volgistics, PetPoint, and Bookeo (or applicable software) experience preferred
    • Spanish speaking skills preferred
    • Public speaking skills; comfortable acting as a “spokesperson” on behalf of the organization at events and outreach opportunities

    EDUCATION AND EXPERIENCE 

    • At least 3 years of supervisory experience, including direct 1-1 supervision and group supervision, coordinating employees/volunteers
    • At least 2 years of experience working in a nonprofit environment 
    • Bachelor’s Degree in Management, Communications, or related field
    • Previous event planning, volunteer management, community relations/outreach experience or other equivalent project management experience

    Additional requirements: Must have a demonstrated interest and enthusiasm for animal welfare and the WHS Mission and culture; be willing to work weekends and evenings as required by the job; have a valid Oregon driver’s license and insurable by WHS vendors; meet the physical requirements of the job, and pass a background investigation for working with children.
