    Non-exempt.Full-time. Core Hours of Monday-Friday, 8:30 a.m. to 5:00 p.m.  Must be able to work a flexible schedule with the possibility of evening and weekend work.

     

    Overall Purpose of this Role:

     

    To work within the Hands On program team to provide an excellent intake and referral for volunteers; to cultivate and steward volunteers; to play a significant role in supporting events.

    Manage the Hands On Volunteer Leader (VL) program                                50%

    1. Create recruitment plan and recruit VLs
    2. Conduct Volunteer Leadership orientation and training and continuously improve training
    3. Conduct VL reference checks and criminal backgrounds checks
    4. Consult with VLs on questions, concerns, and training & supervision needs
    5. Coordinate with the administrative volunteer who fulfills VL-related support
    6. Keep the VLs up-to-date on procedures, policies and new developments that impact their responsibilities
    7. Conduct and report out on VL evaluation, and oversee follow up
    8. Create a VL communication plan, and create and send all communication
    9. Conduct initial VL matching on calendar projects and manage posting of recurring episodic projects
    10. Work collaboratively with Program Managers on VL matching
    11. Oversee VL Recognition Event planning and execution
       

    Manage a Program Portfolio of partners, VLs, and their related opportunities                                  15%

    1. Responsible for stewardship, support, and training of a portfolio of nonprofits, and their corresponding opportunities and VLs
    2. Demonstrate competency utilizing technologies such as Formstack and Salesforce to manage portfolio
    3. Participation in nonprofit applicant review team to vet new nonprofit partners

     

    Oversee Volunteer intake and referral             10%

    1. Conduct intake of volunteers over the phone and email
    2. Manage and oversee the system for sharing volunteer intake responsibilities across Hands On team, including scheduling assignments across the Hands On team, monitoring, and improvement of the system as necessary

     

    Manage Volunteer Stewardship                   10%

    1. Manage and participate actively in the Volunteer Cohort to oversee Volunteer and VL experience, Calendar Planning, and collaborate on development of Hands On Managed projects
    2. Set biweekly meeting agendas and solicit agenda items from members of the Volunteer Stewardship team
    3. Integrate VL stewardship into volunteer stewardship plan, and conduct formal and informal recognition and acknowledgement
    4. Create and run reports to provide volunteer statistics and retention numbers, volunteer contact info for outreach, and other data as needed
    5. Supervise the Hands On team in implementing the VS Initiative

     

    Support Hands On Special Events                 10%

    1. Manage and oversee VL matching, training, and support for special events
    2. Conduct VL evaluation following special events
    3. Support special events (e.g., Cares Day, MLK Weekend, Timbers Stand Together Week, Standard Week of Caring, etc.) by providing: volunteer outreach/recruitment, volunteer intake and referral, team support
    4. Support additional special events, as needed
       

    Participate as an active member of Hands On and UW team,  completing other assignments as needed      5%                            

    1. Participate in the planning and execution of the annual Partner Recognition Event, as needed
    2. Participate in the interdepartmental Resource Development collaboration, as needed
    3. Participate in Hands On equity work.
    4. Provide reception back-up for the organization as needed
    5. Complete other special assignments, as assigned

    Physical Requirements:

     

     

     

    • Periodically moves tools and supplies weighing up to 50 pounds from local tool bank to volunteer project site and from retail stores such as Home Depot to volunteer project site (up to several times per month or more).
    • Consistently works on volunteer project sites, stooping, kneeling, crawling, reaching, ascending/descending ladders, lifting and moving tools, painting, building, etc. (several times per month or more).
    • Consistently works in outdoor weather conditions on volunteer project sites (several times per month or more)

     

    Supervision and Working

    Supervisory Direction Received:

    • Position works closely with and under general direction of the Director-Hands On. Requires planning and arranging of own work in relation to overall set objectives of division, referring only unusual cases to supervisor for decision. Work subject to review and evaluation by supervisor.

     

    Working Relationships:

    • Works closely with other United Way staff members, most specifically within the Hands On sub-department; Volunteer Leader pool; volunteers by providing information and referral; Hands On nonprofit partners when attending or leading projects; and represents Hands On and United Way on volunteer projects.

    Supervises:

    • No direct report

     

    Experience, Education and Training Required:

    • 3 years nonprofit or project coordination experience
    • CVA (Certified Volunteer Administrator) a plus but not required
    • Bilingual Spanish a plus but not required

     

         

    Technical Knowledge:

     

    • Competency with Microsoft Office applications: Word, Excel, databases, and Outlook. Experience with Salesforce a plus
    • Ability to adapt to changing office technology
