Volunteer Coordinator for The Children's Book Bank

    The Children’s Book Bank fills children's homes and lives with quality books, giving children the chance to develop the literacy skills they need to become future readers, learners, and citizens. 

    POSITION OVERVIEW:   

    The Volunteer Coordinator will schedule, train, and supervise individual and groups of volunteers to sort, clean and repair, bundle, and box donated books. This position will manage book stewards: long term specialized volunteers. The Volunteer Coordinator will manage relationships with corporate and community partners and Hands On Greater Portland, and will track and enter volunteer data. This position will work closely with other staff matching volunteer resources with book flow. This position reports to the Volunteer Program Manager and is a full-time, non-exempt position. 

    Work performed in the warehouse involves a significant amount of walking on concrete surfaces. This position is fast-paced and physical and involves standing for extended periods of time as well as lifting (moving and carrying boxes up to 30 pounds), stooping, squatting, kneeling, and bending. This work involves operating pallet lifting machinery. This work also requires the ability and constant vigilance to maintain an orderly, tidy workspace.  

    ESSENTIAL RESPONSIBILITIES: 

    Program Support (70%) 

    • Represent The Children’s Book Bank in a professional, welcoming, energetic manner to volunteers and community members 

    • Ensure culture is welcoming 

    • Orient and train new volunteers  

    • Observe and educate others about safety protocols 

    • Prepare work areas, materials, tasks, and accommodations for warehouse volunteers  

    • Supervise volunteers 

    • Coordinate all at-home volunteers  

    • Lead group volunteer book cleaning sessions 

    • Assist with book donation intake, including greeting book donors and bringing donations from cars to warehouse  

    • Assist with quality assurance of books prepared for distribution 

    • Keep warehouse tidy, volunteer work areas stocked and maintained  

    • Represent The Children’s Book Bank at offsite events 

    • Help with intake, sorting, bundling and boxing of books 

    • Add new books to inventory and display on shelves 

    • Coordinate the flow of books throughout the space, minimizing bottlenecks and optimizing flow 

    • Organize book bundles and boxes of books in the warehouse for ordered storage 

    • Coordinating volunteers or interns researching culturally specific titles for the Story Like Mine collection 

    • Operate pallet lift machinery 

    • Other program duties as required 

    Communications (10%) 

    • Maintain volunteer and community resource postings on Hands On Portland and The Children’s Book Bank website, and complete relevant documentation  

    • Other communications duties as required 

    Development (5%) 

    • Provide volunteer and logistical support for special events 

    • Organize Fall Book Harvest and other book drives as assigned 

    • Other development duties as required 

     Administrative (15%) 

    • Track volunteer hours, record in Salesforce, and create reports as needed  

    • Enter in-kind book donations into Salesforce 

    • Record and track incoming and outgoing book inventory at various points in the process 

    • Plan recognition events 

    • Other administrative duties as required 

     KNOWLEDGE AND EXPERIENCE 

    • Demonstrated ability to engage, motivate, and supervise volunteers 

    • Desire and ability to communicate clearly and connect easily and enthusiastically with others  

    • Excellent written and oral communication skills  

    • Demonstrated ability to take responsibility for multiple projects and complete them on time with limited supervision 

    • Excellent computer skills, and knowledge of office software including Microsoft Office and Salesforce or similar constituent relationship management software

    • Is self-motivated and disciplined to set and achieve goals and can work independently, but will ask for direction or support as needed 

    • Demonstrates awareness, attitudes, knowledge and skills that foster a climate of equity and inclusion 

    • Is helpful, respectful, approachable and team oriented 

    • Builds strong working relationships and contributes to a positive work environment 

    • Ability to stand for extended periods of time and ability to lift up to 30 pounds 

     COMPENSATION 

    • Salary: $19 – 21/per hour 

    • 15 days of PTO 

    • 9 named holidays and 2 floating holidays 

    • Contribution to a Qualified Small Employee Health Reimbursement Arrangement 

    • Access to Oregon Saves 

    • 12 hours paid volunteer time off each year
