    The Community Engagement Coordinator, Volunteers is responsible for furthering OCF’s strategic objectives by: 1) Supporting community engagement efforts of the Foundation’s various volunteer groups, with particular attention to engaging and including Oregonians from diverse communities, and 2) Working with community volunteers and advisory groups supporting the GO Kids project, with a focus on low-income families, children of color and rural children.

    Essential Duties and Responsibilities

    A.    Volunteer Engagement                                                              Percentage of Time: 50%

    Support Volunteer and Community Engagement

            i.  Work with the Program Officer, Community Engagement to support OCF’s volunteer engagement of volunteers in a meaningful and high-quality work, so they are motivated and trained to forward the OCF mission.

           ii.  Support training needs for OCF staff members regarding principles and practices for excellent volunteer management. Work with people within OCF who manage volunteers to ensure that volunteers are appropriately recruited, oriented, trained, and recognized and that records of volunteer involvement are kept current

          iii.  Coordinate and maintain annual written and electronic communication with OCF volunteers including communication through OCF’s website

          iv.  Coordinate and track grant presentations for the Community Grant and other programs

           v.  Report on and monitor community engagement program activities

          vi.  Create or update program policies and procedures and corresponding OCF publications or documents

         vii.  Supports intentional processes to recruit and place diverse candidates for volunteer roles

        viii.  Support tracking and evaluation of diversity of OCF volunteers

          ix.  Support best practices for recruitment, training and relationship management for volunteers participating in the Small Arts, Scholarship, Community Field of Interest Fund and other programs

    Systems Management for individuals and volunteers

           x.  Serve as primary database (iPhi) resource for individuals and volunteers, as needed

          xi.  Provide individual and group training

         xii.  Establish policies, document and maintain operational procedures for database

        xiii.  Collaborate within and across departments to ensure consistent data entry protocols

        xiv.  Create and maintain reports to volunteer activities and the organization

         xv.  Perform regular system maintenance and quality control through proper use of data validation reports, audit queries and exception reports to ensure data integrity

        xvi.  May perform data entry as needed

    B.     GO Kids!                                                                                       Percentage of Time: 50%

    GO Kids Volunteer Coordination

    •       i.    Serve as a liaison for assigned GO Kids steering committees and advocates
    •      ii.    Write, coordinate and maintain regular communication with OCF volunteers and community members in person, by phone and email, and via online tools and OCF’s website

        iii.    Co-design and coordinate steering committee meetings, including communications, meeting materials, action items for follow-up and meeting notes

        iv.    Develop and update reference/tool kits for GO Kids volunteers

         v.    Develop and facilitate training sessions in effective community engagement, the opportunity gap, using an equity lens for decision-making

        vi.    Interview and screen prospective volunteers; give volunteer orientation to OCF

       vii.    Document volunteer engagement for retention and reporting

    •   viii.    Support Program Officer, Community Engagement in recruitment, communication with and support for participating volunteers

        ix.    Assist with outreach events

         x.    Respond to inquiries and information requests

        xi.    Develop knowledge and expertise about organizations, people and issues to help carry out OCF GO Kids priorities, with a focus on low-income families, children of color and rural children.

    •    xii.    Conduct fact finding and research related to local efforts to close the opportunity gap; facilitate volunteer participation in research in collaboration with research staff

    Required Education, Training, Experience and Skills:

    • Four years’ experience in volunteer management, certified volunteer administrator designation preferred. 
    • Prior experience working in a nonprofit organization.
    • Bachelor’s degree in education or relevant field. In lieu of a degree, equivalent combination of education and/or experience.
    • Ability to relate well with nonprofit leaders, philanthropies, and community members in general.
    • Strong organization and time management skills.  Able to prioritize work with competing deadlines. 
    • Adept at use of Microsoft Office, Word, Excel, Power Point; facile internet user; knowledge of Adobe; and experience working with a database and generating reports.
    • Possess cultural agility skills necessary to work effectively with diverse people, teams and communities.
    • Possess good problem solving and analysis skills, able to synthesize information gathered from several sources
    • Comfortable with ambiguity and complexity.
    • Valid state-issued driver’s license. 

    Physical Demands and Working Conditions:  This job is typically performed under very comfortable working conditions; any disagreeable elements are general absent during normal performance of the job. Job duties are performed in an office setting or indoor meeting rooms. Duties will require some lifting/carrying, use of keyboard and monitor, use of office equipment. Requires the ability to sit or stand for prolonged periods.  Requires walking and driving for travel around the state.  Travel is required up to 15% of the time, with some overnight stays.

    Compensation and Benefits:  The starting salary range is $50,500 DOE.
